We are only a few days into the accelerator and we have already learned so much. In only our first three days, we covered: * The importance of mindset * How to perfect our pitch * Key components of our business * Build, measure and learn * Focus on our vision * Smart goals * Detailed planning of our next 90 to 180 days * Customer acquisition * Business metrics and correctly measuring them On top of this, we get access to the wider Natwest network. Enabling a large range of contacts that generally would not be accessible to us. The large corporate partners include: * Hiscox Business Insurance * Deloitte Propel * Equifax * Pinsent Masons International Law Firm * FreeAgent Software for Free :) * Dell * And many more The best way to describe the experience is to combine: **Dragons Den + Apprentice + University** The accelerator is a lot like going back to school, with experienced coaches (teachers) in the Cardiff Hub, directing our opinions, thought processes and even making us stand up and present our offering in front of many other businesses and investors. It is hard and embarrassing, but you soon realise, what you are really weak in and what can be improved. The fellow entrepreneurs in the scheme are already exceptionally good at what they do and it really creates a standard that you want to achieve for your own business. From ethical businesses, that provide personal hygiene products nationally via the post, to [Alpacr, a social media app for backpackers](https://www.alpacr.com/). All the fellow entrepreneurs within the scheme, are of a very high standard. But I also get the sense that all these businesses, will get even better, due to the numerous benefits within the accelerator. For example, businesses that graduated within the scheme, like [Flawsome Drinks](https://flawsomedrinks.com/), have a really good focus on food wastage and have already saved over 7.5 million fruits from going to waste. And their drinks are really tasty too. I had the pleasure of meeting Chris, the CEO of Amplyfi at a City of London advisory group. Cardiff, maybe one of Europe’s smallest capital cities. But with the help and support of Natwest, this small welsh capital has exceptional businesses within their fold. bodyMost forms on websites, are great at collecting data and notifying the business of a lead. I.e a basic one way form: ![2018-08-07_18-25-14.png](https://cdn.steemitimages.com/DQmcyBqqTJBmDavY5ijPqAtwK3SLsdWYM4JN5G7V5y18aNc/2018-08-07_18-25-14.png) **The business process goes a little like this:** - Form completed - Form data sent to business - Business process the data - Business sends relevant information to customer - Client while waiting for you to respond, has gone to another competitor **How can you reduce this process to speed up the response to the client?** The best option is to supply the information, the potential client is looking for, instantly. It has to be Instant, Informative and Smart (Able to carry out processes) A general tendency with service companies in particular, is that each quote may be unique depending on the requirements of the client. To overcome this difficulty, you need to see how the data is processed by the business. Can your service be compartmentalised and pricing assigned to a particular function or service. Even though this may seem complex, breaking down your costs. Will not only allow you to see how much things are in detail, but you may be able to package your service better. Adding this as available information for a client, should garner more custom, especially in a world of instant information gratification. For example, as a web app development company, we don’t even know the price of a project, until it’s presented to us. But what we do know is how much standard things cost, even if it was many different possible combinations. But since they had the information instantly, they were already in a position to take the next stage and go through with the project. But our form was fairly simple, but did exactly the requirement we needed it for. Some of our clients have more complex requirements. A good example is Lingo Translation, a company that focuses on translating important documents all over the world. The price would change dynamically according to the user input. Giving an instant quote, instead of a normally fairly complex process that would take up to 1–3 hours or even overnight. And after all that hard calculating, adding a simple payment system powered by paypal, the end-customer can order instantly too. So rather than looking at your inbox for quotes to process, you will be looking at orders that need completing. With the smart form embedded in your website, the form process now goes a little like this: - Form completed, client informed, client purchased - Business carries out service The form can then be adapted further, by creating a customer application that sits at the back-end, that allows you to share vital information to each client, kind of like online banking. Can your service be compartmentalised and pricing assigned to a particular function or service.\n\nEven though this may seem complex, breaking down your costs. Will not only allow you to see how much things are in detail, but you may be able to package your service better.\n\nAdding this as available information for a client, should garner more custom, especially in a world of instant information gratification.\n\nFor example, as a web app development company, we don’t even know the price of a project, until it’s presented to us. A decade ago, flip phones were very popular and everyone has bought one but today, these phones are obsolete in a world full with touch-sensitive edgeless phones. Flying cars will no longer be an imagination and who knows, *Transformer *vehicles may not be impossible few years from now. This could be a very essential factor to be considered in our businesses. If we do not catch up now, we will struggle in the near future. **So how do we make our businesses stay relevant?** **a. Market research should never stop.** We get too busy in our day to day functions – focusing on sales and operations - that we often forget the importance of consistently conducting market research. Instagram started as a new location-based, check-in app called Burbn by Kevin Systrom and Mike Krieger. When they first released the app, they immediately re-evaluated the market and received feedback. *"If felt cluttered, and overrun with features," *Systrom said. They also realized that they were late to the game with big competitors ahead of them so they revamped the app, removing almost all of their features except simply posting, commenting, and liking the photos. They re-launched with a new brand and the rest is history. If they have not looked into the market and changed their strategy, they would have not made such a huge success with their app. **b. Hire young minds!** The CEO of US Liability Insurance Group of Wayne, Penn. - Tom Nearny told - [The Philadelphia Inquirer](http://www.philly.com/philly/blogs/jobs/INQ_JOBBING_Hiring-young-people-More-trouble-or-worth-it-.html) in 2014 that they have always hired fresh graduates every year and said, *"It helps me learn how they see things, how they hear things, how they understand our culture. It helps fuels things. I’ve just been amazed at how much talent there is.*” Young minds produce brilliant ideas. They do not only bring energy to the team but they also come up with the newest innovations. A new trend comes up every minute and the best ones who can spot the most in-demand and up-to-date concepts in town are the social media savvy generation. It is good to see what they can bring to the table. **c. Keep innovating with the products/services you offer.** Complacency is the number one enemy of success. There is always something new arriving in the market which will be better, stronger and bigger than what you can offer. When we stop developing our products and services, we stop growing. Steve Jobs once said, *“Innovation is the only way to win”* and we can see how well that worked for him and the Apple empire. **d. Take part in the digital world (and keep updating!)** Online presence is now a must for all businesses. Every company should at least have a website and a social media account because the first thing every consumer does is check online for the products and services they are getting. But it should not just stop there. We need to keep learning new ways to boost customer interactions online through updating our presence on these platforms. Maintaining a website could be a tedious job, especially with the operational work that needs to be accomplished but an article from LifeHack.org suggests that a *“two-year old website may be too old”*. In two years, North and South Korea have already made peace, Artificial Intelligence is already in function and Donald Trump has become the US President. Our website should be consistently developed into giving livelier and easier access to the visitors. At the end of the day, these will remain guidelines unless we take action. Flying cars will no longer be an imagination and who knows, *Transformer *vehicles may not be impossible few years from now.    \n     \nThis could be a very essential factor to be considered in our businesses. If we do not catch up now, we will struggle in the near future.    \n     \n**So how do we make our businesses stay relevant?**    \n     \n**a.    Market research should never stop.** \n     \nWe get too busy in our day to day functions – focusing on sales and operations - that we often forget the importance of consistently conducting market research.     \n     \nInstagram started as a new location-based, check-in app called Burbn by Kevin Systrom and Mike Krieger. When they first released the app, they immediately re-evaluated the market and received feedback. *\"If felt cluttered, and overrun with features,\" *Systrom said. They also realized that they were late to the game with big competitors ahead of them so they revamped the app, removing almost all of their features except simply posting, commenting, and liking the photos. They re-launched with a new brand and the rest is history.     \n     \nIf they have not looked into the market and changed their strategy, they would have not made such a huge success with their app.    \n     \n**b.    Hire young minds!**    \n     \nThe CEO of US Liability Insurance Group of Wayne, Penn. - Tom Nearny told - [The Philadelphia Inquirer](http://www.philly.com/philly/blogs/jobs/INQ_JOBBING_Hiring-young-people-More-trouble-or-worth-it-.html) in 2014 that they have always hired fresh graduates every year and said, *\"It helps me learn how they see things, how they hear things, how they understand our culture. It helps fuels things. I’ve just been amazed at how much talent there is.*”     \n     \nYoung minds produce brilliant ideas. They do not only bring energy to the team but they also come up with the newest innovations. A new trend comes up every minute and the best ones who can spot the most in-demand and up-to-date concepts in town are the social media savvy generation. It is good to see what they can bring to the table.    \n     \n**c.    Keep innovating with the products/services you offer.**    \n     \nComplacency is the number one enemy of success. There is always something new arriving in the market which will be better, stronger and bigger than what you can offer. When we stop developing our products and services, we stop growing. Steve Jobs once said, *“Innovation is the only way to win”* and we can see how well that worked for him and the Apple empire.     \n     \n**d.    Take part in the digital world (and keep updating!)**    \n     \nOnline presence is now a must for all businesses. Every company should at least have a website and a social media account because the first thing every consumer does is check online for the products and services they are getting. But it should not just stop there. We need to keep learning new ways to boost customer interactions online through updating our presence on these platforms.    \n     \nMaintaining a website could be a tedious job, especially with the operational work that needs to be accomplished but an article from LifeHack.org suggests that a *“two-year old website may be too old”*. In two years, North and South Korea have already made peace, Artificial Intelligence is already in function and Donald Trump has become the US President. Our website should be consistently developed into giving livelier and easier access to the visitors.     \n     \nAt the end of the day, these will remain guidelines unless we take action. The best method of attracting your audience is first find out what they are **searching for**. There are many tools out there, but if just starting off, it’s best to start with the free tools. A good tool is [Moz.com](https://moz.com) it allows you to see what potential customers are searching for and allows you to create content that meets that need. **How is this done?** - Start by signing up a free account to Moz.com - List your established competitors URLs - Enter the URLs and order by monthly volume There you have it, the top ranking keywords or phrases for your industry. For example, we are a [web design company](http://wegetdesign.com/) situated in Cardiff and so are my competitors. So you would think that their potential customers found them with phrases like Web Designer Cardiff, Web Design etc. Focusing on the keywords related to the service. But when I listed our competitors domains, to my surprise I found that my competition are being found with phrases that do not relate to their core business, but more around helpful guides of loosely related information. You would think that sales conversations would be very poor for a non-related term, but let's look at this a little bit closer. - 6000 loosely related searches vs 60 accurate searches According to [Search Engine Land](https://searchengineland.com/7-conversion-rate-truths-will-change-landing-page-optimization-strategy-191083), the average landing page conversion was 2.35%, so even if 100% all the accurate searches converted to sales, 2.35% of 6000 loosely related searches would still convert 141 customers. That is a 135% increase on being accurate with your content plus the repeat brand awareness would far exceed just pushing your stand alone offering. I think my next post should be about **instagram** :) If looking to create content, the important takeaway is find out what your potential customers are looking for, and try and match that need. In doing so, you only find yourself spending equal time in creating content, but can focus on content that actually reaches a much wider audience. It is about consistency.”* We want to share the tools that we use, that allows us to do this. Creating a single social post requires imagination, but there are plenty of sources that allow you to understand what works. Rather than come up with something from scratch, find what works and adapt it for your business. Tips to create [perfect tweets.](null) Simplymeasured, a social media company, created a guide based on a study of over hundred thousand tweets from the top 100 global brands. - They found out that using hashtags and links together will outperform just one or another. - Don’t #Hashtag Overload: Tweets with more than two hashtags get 32% LESS engagement. - Tweet Longer: Tweets with under 60 characters see 1/3 the engagement of longer Tweets. Your content should be polished and an easy way to accomplish this, with a minimal budget, are tools like Canva. [Canva](https://about.canva.com/) is a freemium tool, that allows you to create really nice social image content. A picture tells a thousand words and according to Simply Measured social study “*using Tweets with images average 2X the engagement of Tweets without images*.” Don’t have much imagery, we tackle this with two methods. The first is using copyright free image databases. Brilliant ones are [Pixabay](https://pixabay.com/) and [Pexels](https://www.pexels.com). You will find a good selection of images that if combined with Canva, upscales the presentation of your business. Our second method, is we embed the social content collection process into our business processes. We created a google drive folder, that all our staff have access to. From their desktop and their mobile. Every department while working, can dump images, files, documents, videos in one folder. This will keep our marketing department with almost endless amounts of content to curate. As per the beginning of this article - consistency is important. To help us with this, we use [Buffer](https://buffer.com/app), a scheduling application. A social media posting tool that connects to up to 3 social platforms for free, and more on a paid subscription that is less than a few coffees per month. The platform allows us to schedule posts for period of time. Our general messages schedule everyday, up to two weeks in advance. Allowing us to focus on a content ark. A story that is told about our services and brand, that really allows us to be systematic in our approach. And also allows us to focus on key pieces that in addition we post every few days. Social media does not need to be difficult, the hardest part is designing the habits within your processes that will allow you to create a strong base of your communication. Spending time designing how everything should work within your organisation is important. Generally most businesses have a solid idea of functionality and design of their website. They are particular about every aspect, how it works, the customer flow, technical features. Most business owners understand these areas well. But in an organization that stretches from growth, other parts tend to be less well thought out and designed. And the parts covered, come from a view of need. There is nothing wrong with this approach, lack of time is the usual cause. But I request my fellow entrepreneurs, to stop for one moment. Take a day from your schedule, just one is required. And sit down and type a **design plan**. Similar to a business plan, but not for investors, not for the bank, not for customers, but for you personally. It should be a simple but detailed enough document. No fancy graphics, but a simple to-do with reasons and covering what resources you have available for certain tasks. There is not a one method to do this. Whatever suits your brain, the way you view a business. The way I approach this is to focus first on customer viewpoint, create an analysis of the underlying processes, with a final assessment of the matching resources. For example, 3 main areas that I try to cover: ## Perfect Presentation This is basically your entire service. Every aspect that is experienced by your potential and existing clients. From initial communication, to the service and after service care. These also happen to be your core services that actually have an effect on your bottom line. ## Perfect Processes From understanding every aspect of your presentation, you can now focus on design of each task. Involving breaking down each task, into a subset of processes. A step by step process, given you the birds eye approach, to see what resources are required to make each detail very smooth and easy on the business. ## Required Resources At the time, you may not have the adequate resources in place to improve all at once. Aim to prioritise aspects that are required to improve a task/process. Usually starting with pre-existing human resources, including yourself, are easier on the budget. It just involves slightly longer hours. In theory, improving an aspect, will allow your business to move forward and grow a little bit more, thus helping you get the required resources for the next improvement. This plan would allow me to follow a structure, save time by concentrating on only aspects that improve the presentation and service of a company. In an ideal world, logically following a design plan, would move the company into a secure foundation which to scale from. And once complete, keep adding to the plan and improve. If you start new areas of your business, start with a design plan first. Then follow accordingly. It will show through your business and your customers will be very happy.
