DOWNWARD COMMUNICATION\n\nDownward communication is the information that is exchanged between a \nmanager and a subordinate in other words from top level to low level. In the best \nof cases, the information is clear and direct. The purpose of such communication \nis to inform about policies, procedures, programmes and objectives and to issue \norders and instructions to the subordinates. The information is sent through verbal \nor written orders.\n\nThe objectives of Downward Communication are:\n\n-To train subordinates in performing the job.\n-To motivate employees to improve their performance.\n-To know how effectively a person is performing his job.\n-To explain organisational policies, programmes and procedures.\n-To give instructions about what to do and how to do.\n-To highlight the areas of attention\n\nMerits of Downward Communication are\n\n#JobSatisfaction – The management communicates the employees about \ntheir better performance in the organization because of which the \nemployees feel motivated.\n #DutyandAuthority – By assigning duties and giving authority to the \nemployees it becomes clear as to what is expected of them and how much \nauthority is vested in them.\n#PlansandPolicies – Through downward communication, the employees \nare informed about the organisational plans and policies.\n#MissionandGoals – Employees are informed about the mission and goals \nof the orgnisation and how they can be an asset by contributing to \naccomplish the goals\n\nDemerits of Downward Communication are\n\n#Distortion - In the long line of downward communication, information is \nvery likely to be distorted because of fabrication during interpretation as \nmade by the subordinates. Information to pass through the long chain of \ncommand is supposed to lose its originality at every level.\n\n#Time Consuming - The line of communication is the downward \ncommunication is very long. It takes too much time to transmit the \ninformation to the lowest level of management. When information reaches \nthe destination, it is too late & the communication loses it significance.\n\n#Reduction of Efficiency - Efficiency is increased when there is a cordial \nor communicative environment. But downward communication is \ngenerally commanding in nature which is against the rules of effective \ncommunication. So workers or employees do not get the opportunity to \nbecome efficient.\n\n#Incomplete Information – Sometimes managers do not communicate the \ncomplete information to the team members because they want the team \nmembers to be dependent on them. However, managers do not realize that \nwithout complete information the team members will not be able to carry \nout the tasks efficiently.\n\nII. UPWARD COMMUNICATION\nIt is non directive in nature. Effective upward communication is possible only \nwhen organizations empower their employees and allow them to participate freely \nin decision making. General Electric and Federal Express have set up \npeer review boards where the arguments of both parties are heard and a \ndecision is arrived at.\n\n#OpenDoorPolicy – Under this policy employees are free to approach \nmanagers at any time and discuss their problems with them.\n\n#CounselingAttitudeQuestionnaireExit Interviews – The personnel \ndepartment conducts non directive counseling sessions to help employees \ndeal with their work related issues also, questionnaires may be \nadministered periodically to find out about employees attitude towards work. \nExit interviews are held for finding out the reason for leaving and \nfor giving suggestions for improving the workplace.\n\n#TheOmbudsperson – Through an ombudsperson the employees can have \ntheir problems resolved quickly without going through lengthy channels.\n\nIII. HORIZONTAL COMMUNICATION\nHorizontal communication is necessary to develop a collaborative and proactive \nculture in an organisation. People communicate with others at their own level, in \ntheir own departments or other departments, to solve problems and to share \nexperiences. Devices such as problem clinics and task forces are used for this \npurpose.\n\nA problem clinic is conducted by people concerned with a problem to diagnose \nand generate alternative solutions. VERTICAL COMMUNICATION\n\nVertical communication occurs between various hierarchies. It maybe upward or \ndownward. For example manager to employee, general manager to managers, \nforeman to machine operator, head of the department to cashiers, etc. \n\nDownward communication is more prevalent than upward communication.
