| body | Our main methods of communication in the workplace are two: written and verbal, which basically boils down to emails and meetings. But can we read beyond these two simple means of text and speech? What is the body language that we can extract and interpret from these methods? It’s easy to understand during a meeting what body language is being transmitted just by watching the speaker. But what about an email? What underlying messages can we give off with electronic communications sent and received by computers? https://static.pexels.com/photos/7112/woman-typing-writing-windows.jpg |

| body | Our main methods of communication in the workplace are two: written and verbal, which basically boils down to emails and meetings. But can we read beyond these two simple means of text and speech? What is the body language that we can extract and interpret from these methods? It’s easy to understand during a meeting what body language is being transmitted just by watching the speaker. But what about an email? What underlying messages can we give off with electronic communications sent and received by computers? Underestimating the Subliminal Message When we read an email, how do we determine if it’s a good email? Is there really such a distinction between good one and a bad one? Some would say an email is a written message, short in its content, precise and to-the-point. No more, no less. Others however, would say it’s a detailed message, leaving no questions unanswered. Both answers are probably correct. But what if we now say that an email in addition to a text message, also conveys a feeling, an impression or even an emotion directly to the recipient? All these reactions are consequences that spur from this type of written communication. When we send out an email, regardless of the content, we are communicating ourselves in more ways than we think, and this, many times, is underestimated – an exclamation mark for example, can mean enthusiasm to the sender, but could be interpreted as an aggression by the recipient. Knowing (or Not) Who’s at the Other End So how do we go about taking care that a wrong message is not conveyed? It’s actually quite simple, yet sometimes overlooked: know your recipients. If not, make sure you keep the email neutral and formal. By knowing your recipients, I mean really knowing them – probably even on a personal basis or at least to the point of knowing what sense of humour they have (or lack of, for that matter!) Putting a joke in text, or worse, using sarcasm, can get you into trouble. Keep it simple and impartial, so your words can never be misinterpreted. Don’t risk it – save the occasion for when you’re face to face. Reply Emails Also Have Body Language: Acknowledging Receipt vs Silence The sender of an email has the ability to convey a feeling or an emotion and inevitably, recipients react to that. The way in which the receiver reacts to the message is key to interpretation, having consequences that can easily be underestimated. Think about it for a second. How would you react if you sent an email out and got a response in under five minutes? Impressed? Intimidated? And what about never actually getting a response at all? Many believe that when an email goes unanswered, the recipient never replied; a response to their request was never returned. I sent an email to someone over four weeks ago. I chased and chased, and in the end, never got anything in return. Or did I? Actually, their mere silence, is already a response within itself: that person was not interested in what I had to say or offer, or didn’t care enough to reply, and an active negative response would have probably been the same: “Thanks, but no thanks.” So really, it’s not worth beating oneself up about this when you already have the answer in front of you, whether expressed in writing or conveyed with silence. The difference between silence and a “Thanks, but no thanks” is manners – a third element easily conveyed through the body language of emails. Take the following example: Imagine there’s a 12-hour difference between you and a client of yours. This client sends a long-winded and worried email that you receive just as you’re leaving the office, rushed and already late for dinner. You have two options: the easy way out – not answering until you are comfortably back in the office the following day, or going the small extra mile that evening and responding something like “Duly noted, I’ll look into it and revert back first thing tomorrow.” The difference is that for you it’s less than a minute of your time, whereas for the client, it could become a whirlwind of anxious thoughts – “Did the email send?... Has it been received?... Should I email someone else just in case?” In the end, it’s up to you how you wish to grow your trust with people through email exchange, and it can take very little to go a long way. Trust and Reputation Conveyed Acknowledging receipt and managing expectations will convey care, making others gain trust and confidence in you. But by the same token, email communication could also destroy your reputation. The fact that you respond quickly, later in time, or don’t respond at all, in addition to the structure and diplomacy of your words in the body of that email, will always say more that you think or even expect. This in turn will build an impression of what you are like, without necessarily having met you, drawing conclusions on your personality and trustworthiness. So be aware that the communication skills when writing an email should not only revolve around the structure of your paragraphs, or whether it’s to-the-point or of boundless detail. It’s about the way you convey the interest in hearing from someone, or wanting that someone to know that you are listening to them. * * * Copyright by Natalia Arcila |

Should I email someone else just in case?” \n\nIn the end, it’s up to you how you wish to grow your trust with people through email exchange, and it can take very little to go a long way. \n\nTrust and Reputation Conveyed \n\nAcknowledging receipt and managing expectations will convey care, making others gain trust and confidence in you. \n\nSo be aware that the communication skills when writing an email should not only revolve around the structure of your paragraphs, or whether it’s to-the-point or of boundless detail. It’s about the way you convey the interest in hearing from someone, or wanting that someone to know that you are listening to them. \n\t\t\t\n* * *\n\n Copyright by Natalia Arcila\n\n",

| body | Our main methods of communication in the workplace are two: written and verbal, which basically boils down to emails and meetings. This in turn will build an impression of what you are like, without necessarily having met you, drawing conclusions on your personality and trustworthiness. | body | We get moored into discussions, debates, tweets, alerts… technology makes our head spin, and its advances make the less aware like me, feel like we consistently strive to grip the concept of infinity, and yet, it just keeps slipping away. We enter the mindset of continued advancement without finish lines. ‘So what’s next?’ ‘And after that?’ ‘And after the after’s?’ And the answer we get, will always be the same as when we ask ourselves ‘what comes after the cosmos?’ ‘More’. And so, simplicity, silence and remoteness brings these virtual questioners back a little bit closer to mental rest and inner peace (needed from time to time). And so, I would like to take you to those remote corners of the earth, where bitcoins, AI and robotics do not reach… at least… not for now. Today, I want you to come to a long stone wall, probably constructed over 100 years ago, dividing lands where the royalties hunted boars and pheasants. It’s about 2 meters high, and a relatively easy climb. It’s hot, but the sun is starting to lower. Nearby, a cricket chirps, reminding you of your location, even with your eyes closed: dry, yellow fields and robust oak trees. Blue skies and unpardoning rays of sun that penetrate your pores with no mercy. Once you climb this wall, you can sit on it for hours and gaze into space and time, all at once. Looking out on the countryside you are looking at the past and the present. Centuries ago, whomever stood there, would see the same, and on the horizon, immutable mountains. It’s so quiet you can hear you heart beat with the occasional bird flutter past. It reminds you how simplicity is sometimes the most striking part of life… and it’s free! This little hidden place, sits in Madrid, Spain. 28 km from the hustle bustle of the city. But this gem could be anywhere. It’s not what it is, but what you make it to be, and how you take it in. After this short break, let’s go back to our day. Phone calls, computers, discussions, debates, tweets, alerts… but let’s do it with that hidden place of peace is our mind, and in our heart. It will help to facing the day to day with greater calmness; allowing us to confront situations head on, with a renewed energy and ambition. So, where shall we go next week? |
